Event Rental, Food, and Beverage Information

Chinook Bend RV Resort is an 85-acre river ranch nestled on the banks of the Siletz River, located just three miles from the Pacific Ocean. We are a private resort that specializes in RV camping and RV memberships. However, we do offer fishing, camping, and clubhouse usage to the public on special reserved occasions.
Event facilities include a 6,000 square foot clubhouse with two floors, a wedding gazebo, and a large river deck right next to the Siletz River. The upper floor of the clubhouse contains cathedral type windows that reach skyward to the heavens for more religious or exquisite ceremonies. The upper story also contains bathrooms, a large dance floor, and a stage area. The ground level contains a large kitchen for cooking or catering needs plus a large bathroom for bride dressing and large room for banquet seating.

BOOKING OPTIONS:
Our clubhouse facilities are available for a variety of function types such as: weddings, anniversaries, reunions, business meetings, church gatherings, birthdays, showers, etc. We can accommodate groups of various sizes. Both indoor and river deck accommodations are available to meet most needs. The dance floor is also available if needed. Prices depend on the size of the group.

General Cost of Facilities:
Between $500-$800 only.

All quoted prices shall include facility space only. This does not include food, beverage, entertainment, or any other service. Added services shall be determined on an individual basis.

Policies and Procedures

FOOD AND BEVERAGE:
Chinook Bend RV Resort can supply all food and beverages. Chinook Bend RV Resort, as a licensee, is responsible for the administration of the sales and service of alcoholic beverages in accordance with the Oregon Alcohol Control Commission regulations. Absolutely no alcoholic beverage will be served to any minor. All guests consuming alcoholic beverages must supply legal proof of age.

EVENT COORDINATOR:
The Resort has an event coordinator on staff that will plan your entire event, from decorating ideas and assistance, to food and beverage ordering and supplying.

CATERING:
Catering is allowed provided you use a caterer who is pre-approved by the Resort.

ENTERTAINMENT:
The Resort can supply a DJ and/or Karaoke entertainment.

CAKES:
Chinook Bend RV Resort has a baker on staff that specializes in wedding, birthday, anniversary or special occasion cakes. We suggest you compare our very affordable prices before you order your cakes from any other supplier.

OTHER CHARGES:
There may be additional service charges incurred based on the number of servers, bartenders, and cooks required. Our buffet lines are self-service. If you require attendants, we will be able to accommodate this for a small fee.

CONFIRMATIONS:
Final arrangements must be made at least thirty days in advance of your event’s date to ensure availability.

ATTENDANCE GUARANTEES:
During the initial planning of the event, you are required to give an estimated number of guests to The Resort. An exact attendance guarantee must be provided to the office fifteen (15) days prior to the event. Requests to increase the exact attendance will be considered up to three days prior to the event. If an exact attendance is not given, the estimated attendance will serve as the guarantee. Should your final guarantee fall below 20 guests, an automatic $50 labor charge will be added. We will provide food and beverage of 5% over the exact attendance guarantee, in order to accommodate last minute reservations. The Resort is not responsible for food and beverage that exceeds guarantee attendance.

ALL HALL PRICES ARE BASED ON FOUR (4) HOURS.
OVERTIME CHARGES MAY BE REQUIRED IF THE EVENT GOES BEYOND THIS AGREED TIME LIMIT.

DECORATIONS AND ENTERTAINMENT:
Client assumes full responsibility for the hiring and contracting of all services not related to food and beverage. The coordination, assembly, and distribution of all decorations, floral arrangements, and favors are the sole responsibility of the client. No confetti, glitter, rice, or birdseed may be used or thrown anywhere on the property. The Resort does not permit the affixing of anything to the walls, floors, windows, or ceiling, unless by special signed agreement.

SECURITY DEPOSIT:
A $100 security deposit to your event is required at the time the agreement is signed. The deposit is not refundable if the event is cancelled. However, it may be transferred to a future event. The deposit will be refunded in full less any additional costs, damages, or cleaning, by main within 7 working days after your event.

PAYMENT:
Thirty (30) days prior to your event, 50% of payment is due. Final payment must be received one week prior to your event. Acceptable forms of payment include: cash, money order, cashier’s check, MasterCard, Visa. We are sorry, but we do not accept personal checks. Charges for any additional food, beverage, or services provided are due and payable in full upon the completion of the event. A MasterCard or Visa card must accompany the final guarantee for potential food and beverage overages. In the event of non-payment, the Resort reserves the right to cancel the event and forfeit the original deposit.

CONTROL OF FUNCTION:
Chinook Bend RV Resort reserves the right to inspect and control all functions. If your guests do not cooperate with management, we will take action to maintain accord. This may include discontinuing the service of alcoholic beverages, changing the music, and/or ending the event.

GENERAL COURTESY:
Chinook Bend RV Resort is primarily a campground. We realize that our Resort offers many beautiful locations for photo opportunities. We ask that you understand that campers have the right-of-way, and that you should not go into the camping area where RV’s are parked unless you are camping there.

LIABILITY:
Chinook Bend RV Resort cannot assume responsibility for any damages to property, bodily injury, or lost of merchandise or personal articles, that may occur at any event held on the property, from any cause, whatsoever, prior to, during, or subsequent to the period covered by this agreement, for you, your guests, or contracted services (i.e., photographer, DJ, etc.). Liability for damages to Chinook Bend RV Resort property will be charged to the representatives acting as function contacts. Signer agrees to be responsible for any damage to the function areas or any other part of the Resort that may be attributable to signer’s event.

Chinook Bend RV resort is excused from the performance of this agreement, at the Resort’s option, and without obligation to the client for damages, if the performance of the Resort is prevented, substantially interfered with, or rendered significantly more difficult due to labor troubles, government regulations, utility shortages or restrictions, restrictions upon travel, transportation, foods and/or beverages, or supplies, acts of God, an/or an other causes, whether or not specifically enumerated herein beyond the control of the Resort.
